Finance and Operations Manager

GutMonkey is a small company, based in Portland, Oregon that designs and delivers outdoor and experiential programs geared toward better healthcare management for communities affected by rare and chronic conditions. GutMonkey programs range from hour long keynotes and conference workshops, to weekend long teen programs, to week long residential programs and expeditions.  We are a passionate, and very collaborative team, that centers our work in relationship-building, and community building as the foundation to better health. This serves our central belief that behavior change around healthcare is uncomfortable, and we often ask our participants to do things that are challenging, outside of their comfort zones, and that necessitate asking for help, and validating the hard work of others. We are committed to equity in our organization, and all of its programs, and seek to name and dismantle the ways that various forms of oppression affect the health of the populations we serve. We work predominantly in teenage and adult populations, and occasionally do work with whole families, including young children. We are seeking a Finance and Operations Manager to join us in the management, and execution of our roughly 40 annual programs. This is a FT position, that relies heavily on strong organization skills, knowledge of project management software and practice (we currently use Asana), bookkeeping in Quickbooks, Google Drive, and excellent written, verbal, and relationship-building skills. We work in multiple modalities that are play-based, and while those always have clear educational outcomes, we choose play for intentional reasons. Be playful! It is a big part of our work, together and with participants in our programs. Most of our staff travel as part of their role. This position will not travel, and will be an integral part of the team, that will see stretches of time with very few of us in the office. We will create time for all team togetherness, but the ability to work independently is essential. The ability to work from home is offered, and we hope seen as a plus! This is a salaried position, with excellent benefits, employer-sponsored SIMPLE IRA, and generous vacation policy. Starting salary range is $45-$55,000 DOE. Finance Responsibilities:Oversee overall financial management, planning, systems and controls.Regular bookkeeping through QuickbooksManagement of business budget in coordination with the CEO and Vice PresidentInvoicing to funding sources, including calculation of completed units of servicePayroll and benefits management, including tabulation of accrued employee benefits and PTODisbursement of checks for business expensesOrganization of fiscal documentsRegular meetings with CEO and Vice President around fiscal planning.Tracking of employee expenses, including collection and management of receipts, reimbursements, and management of senior-level credit card accountsPrimary point of contact for all vendors Operations and Project Management:Support organization with calendar management and schedulingAdministration of registration platform for all programsManage and Improve the operational systems, processes and policies in support of organizations mission — specifically, support better management reporting, information flow and management, business process and organizational planningUpdate and maintain all internal policy and procedure documentsMonitor and Maintain all insurance policies: GL, PL, WC, etc…Management of Asana, or other project management toolWeekly meetings with staff and C.E.O. for status updates on all programsGeneral logistics support for all programsOffice Management:Purchase materials, plan inventory and ensure office efficiencyOrder and organize office suppliesAct as primary liaison with all outside vendorsOrganize daily mail and distribute to necessary staff when appropriateMonitor cloud-based phone systems and answer callsSupport program staff with equipment rental and purchasingMaintain and archive a filing system for general program/legal documentsChalk out or improve operational systems, processes and best practices that guarantee organizational well-beingMaintain archival and administrative filing systemsMonitor multiple email accountsOther tasks as needed  Qualifications and Experience:Required:5+ years of experience in finance and operations1-2 years of project management experienceExcellent bookkeeping skills, and strong knowledge of QuickbooksExperience developing and implementing process, policy, and training around operations, logistics, and finance functionsAbility to work effectively in a team environment as well as independentlyExcellent written and oral communication and organizational skillsStrong interpersonal skills and interest in working with people from a diverse range of backgrounds and experiencesMust have reliable transportation and a valid driver’s license and auto insuranceExcellent knowledge of MS Office and Google Suite Bonus points:Ability to work from home an average of 1-2 days per weekStrong knowledge of Asana and CampDocsExperience with public health community engagementEquity and Inclusion training and experienceDemonstrated experience in program and partnership managementPassion for our mission: ADDITIONAL INFORMATION:We will run a background check prior to hiring, and may want to discuss the results of your background check with you prior to making a formal offer of employment To Apply: Please include your resume and a cover letter when applying via email at: No phone calls, please.
