Director Hours: Full Time Salary: $21 to $26 an hour (starting wage DOE)

FSA, and 401K) Position SummaryThe Executive
Assistant will provide personalized administrative support to the Executive
Director(ED) and Board of Directors in a well-organized and timely manner. This
role provides crucial support for the ED and key stakeholders (internal and
external) to ensure effective communication, streamlined flow of information
and maximum efficiency. The person in this role forms a close partnership with
the Executive Director, anticipating needs and providing support at many
levels. Beyond simply responding to delegated duties and task, the effectiveAssistant
will take initiative to catch overlooked details, anticipate issues in order to
help the ED maximize their time and focus. Administrative support will include tasks
such as scheduling meetings, managing and maintaining schedules, confirming all
appointments on the calendar, preparing reports, follow up with meeting minutes
and action items. Interacts and provides administrative support to Board of
Directors. This position requires a flexible, self-directed person with excellent
interpersonal skills, strong initiative, organizational ability and an ability
to work well under pressure. Principal Duties & ResponsibilitiesMaintains Executive Director calendar
and schedule..
Resolves scheduling conflicts in a
timely manner. Takes a proactive approach to anticipating needs of
Executive Director and Program Managers in preparation for meetings and
other events.
Will attend meetings with ED. Takes
and transcribes minutes for various meetings. Tracks commitments, action
items, made by ED or staff and arrange for implementation or staff follow
up.
Act as a point of contact for ED
internally and with community partners. Demonstrates good judgement and
strategic thinking by routing or answering general inquires not requiring
the ED’s attention.
Composes correspondence, memos,
letters, reports, presentations and other project administration.
Demonstrates positive interactions
with the public and positive interpersonal relations in dealing with
fellow employees, managers, and other department employees, to maximize
productivity and positive employee relations.
Plan and schedule meetings and
appointments, including meeting locations, food and beverage arrangements.
Support Board of Directors by
preparing and distributing agendas, minutes and action items for Board of
Directors, Executive Committee monthly meetings and potentially other
Board Committee meetings.. Track and obtain RSVP’s to these meetings.
Create &
maintain organizational and program packets with updated collateral
materials.
Maintains files,
correspondence and related materials for administrative and program
requirements.
Maintains confidentiality,
understands significance, and adheres to HIPAA regulations.
Maintain/update
eTapestry/Blackbaud constituents with ED contact info.(and/or other
contact management system)
Monitor eTapestry
donation, generate acknowledgment and tax receipt letters.
Assists with special employee
events.
Assist with annual fundraising
events
Other duties as assigned..
 Qualifications ●     
High level of
organizational skills and excellent attention to detail.●     
Ability to work
independently and as a member of a team.●     
5+ years of strong
administrative experience.●     
Ability to
communicate effectively, both orally and in writing.●     
High level of
skills in MS Office software suite, particularly Excel, Google Applications
with ability to quickly adapt and learn new software programs. Essential Abilities●     
Ability to
handle multiple projects in a fast-paced environment, remaining flexible and
able to address changing needs and priorities.●     
Ability to work
in shared office space. ●     
Ability to
manage and maintain confidentiality of sensitive information.●     
Comfortable in
various environments. Including casual community service offices to high-level
CEO/CFO meetings.●     
Supporting the
diverse needs of the ED, Board of Directors and community partners, which may
often have demanding and/or conflicting schedules. ●     
Function
effectively with minimal supervision.●     
Familiarity
with and adherence to HIPAA and company policies and procedures. ●     
Ability to
plan, prioritize, organize, and work well under pressure.●     
Strong
attention to detail and accuracy in data entry.●     
Familiarity
with health sector and/or social service sector a plus. Working Conditions●

with stairs (no ADA access)●     
Ability to lift
10-20 lbs.●
